Club Secretary

After 23 years of service to the Junior Section our existing Club Secretary, John Firth, has indicated his intention to stand down from the role at the end of this season. As a result the Junior Club is now looking to find a suitable and willing volunteer to take up this vital role.

Who will I be responsible to? 

The Main Committee, through the Chairperson 

What is the role of the Club Secretary? 

The main purpose of this job is that of principal administrator for the club. The Club Secretary carries out, or delegates, all the administrative duties that enable the club and its members to function effectively. The Club Secretary is a pivotal role within the club, with a close involvement in the general running of the club. The secretary provides the main point of contact for people within and outside the club on just about every aspect of the club’s activities. 

What else can you tell me about the job? 

As the first point of contact with the club it is helpful for the secretary to be available to take phone calls during the working day. The club is keen to support the secretary in the use of modern office technology to assist them in their job. This is a job that has a major impact on the efficient and effective management of the club. The secretary has contact with a wide range of people from within and outside the club. Representation of the club at outside meetings provides the opportunity to find out what’s going on at league and county level and this could be a platform for future volunteering opportunities.

How much time will I need to give to the job? 

Approximately two hours each week.

What sort of tasks are involved? 

Tasks will include (and be shared with other committee members): 

  • Attending league meetings 
  • Affiliating the club to the County Football Association 
  • Affiliating the club to the league(s) 
  • Registering players to the league(s) 
  • Dealing with correspondence 
  • Organising the club AGM and other club meetings 
  • Representing the club at outside meetings at the direction of the Club committee
  • Attending Club's monthly manager meeting, and AGM, and providing and distributing minutes
  • Potential use of Club e-mail address to ensure confidentiality where appropriate

Player Registration Secretary

This is a new voluntary role for the Junior section of the Club as it sees itself growing in both Girls and Boys sections and entering teams in their various respective leagues and competitions. The club has temporary arrangements in place until it can find a volunteer to cover this role. However we want to avoid any one volunteer taking on too much activity and for it to become a burden on their time and enthusiasm.

Key Tasks

  • Registration of junior players 
  • Transfers of junior players
  • Assist in resolving Registration disputes
  • Checking (and updating) league records 
  • Confirmation of Player Eligiblity (especially for cup games with potentially cup tied players)
  • Ensure strict details are kept of registrations, in case of disputes
  • Attending monthly Club Manangers meetings
  • Provide regular updates to Club's Treasurer

  • Awareness of League and FA Rules regarding player registrations and player transfers
  • Ability to communicate with the clubs age group Managers and Committee regarding junior player registrations 
  • Good IT Skills including Word and Excel
  • Familiarity with FA systems - 
    • Whole Game System 
    • Full-Time
